Booth Fees & Sizes
Exhibit Rates below for standard booth sizes in feet. Other sizes may be available. This fee is for the rental of the booth space only -- it does NOT include items ordered from the official decorator, Freeman (like carpet rental, furniture rental, etc.), or the Duke Energy Center (electricity, internet, phone, A/V, etc.).

Prior to December 1, 50 percent of the booth rental fee is required to reserve a booth, with the remaining 50 percent invoiced on January 2, and due within 30-days. New booth sales after December 1, require 100 percent (full) payment to reserve booth.

Freeman Company is the official exhibit hall decorator for NPTC 2018. The NPTC 2018 Exhibitor Service Manual, where you can order carpet (required), rental furniture, electricity, internet connections, booth setup, shipping, and more, will be available online for quick and accurate service. Exhibit booths provide Complimentary Full Registrations based on the following schedule: 10’ x 10’ = one (1) complimentary registration; 10’ x 20’ = two (2) complimentary registrations; 20’ x 20’ = three (3) complimentary registrations; and, 20’ x 30’ or larger = four (4) complimentary registrations. Information on assigning comp registrations will be provided to exhibitors when available. All registrants (paid and comp) will receive an email confirmation of their registration.
Advance Datafile of Registrants
All exhibitors receive an electronic datafile of attendees twice prior to the event (in late February and late March) and another, final datafile of attendees, following the event. The datafile includes registrant name, title, company, full address, phone and fax (email addresses are NOT available). NPTC prohibits blast or mass promotional emails to members and/or attendees.
Lead Retrieval Systems / Other Marketing
NPTC 2018 does NOT offer, operate or permit lead retrieval systems. Furthermore, NPTC does not offer any marketing services such as flyer mailings or blast emails to attendees. Exhibitors wishing to send direct mail to attendees are asked to provide NPTC with an email proof of the marketing piece for approval prior to mailing. NPTC prohibits blast or mass promotional emails and/or cold-calling to members and/or attendees.

Motor Vehicle Display / Fire Department Inspection
All display vehicles must be inspected by the Cincinnati Fire Department before they are allowed on the exhibit hall floor. This inspection is scheduled for Friday, April 28, 2017 at 1:00 pm sharp, Eastern Time. You must have your vehicle at the Hall A Loading Dock of DECC at that date and time. Failure to show at the specified date and time may result in your vehicle being denied access to the show. Vehicle must have (1) an operating gas gauge; (2) vehicle’s gas tank is required to have 1/4-tank of fuel OR less; and, (3) after the vehicle is moved into place on the show floor, the battery is required to be disconnected.
Following inspection by a representative of the fire department at 1:00pm on Friday, April 28, 2017, your driver will be directed to immediately drive the truck himself into the hall and all the way to your booth space where he/she can position the unit in its final spot – if ordering carpet from Freeman, it will be in place prior to inspection time. If you are bringing your own carpet, you will want to have it installed prior to the inspection time; access to the hall for this purpose can be granted on Friday morning. Freeman personnel and show staff will provide instructions to your driver onsite that day/time and guide him into and through the hall to your space. You are welcome to have someone from your staff be present (other than the driver) to ensure the truck is positioned properly in your booth at that time. While Truck Trailers on display do not need to be inspected (unless the tractor is staying in the booth), they must also arrive at the Hall A Loading Dock Door of DECC by 1:00pm on Friday, April 28 for move-in.
INSTRUCTIONS FOR YOUR DRIVER:
When your driver arrives at the Duke Energy Convention Center, 525 Elm Street, Cincinnati, Ohio, on Friday, April 28 by 1:00pm, there will be parking available to stage your vehicle(s) all along West Sixth (6th) Street, alongside of the Convention Center, outside loading dock door A. Parking meters will be covered/bagged on both sides of the street for this purpose. Your driver can wait with their vehicle until the inspection sticker is applied from the Cincinnati Fire Department inspector, and is then directed to enter the Hall A loading dock by Freeman staff or show management.
Truck/Vehicle Move-Out: All vehicles on display will be directed by Freeman staff for move-out. Please have your drivers on-hand and present in the hall by 5:30pm on Monday, May 1, 2017 at your booth. Once the majority of the aisle carpet is pulled from the floor, the loading doors will be opened and vehicles will be lead off the floor. In the past, most vehicles are out of the hall by 7:00pm on Monday, May 1, 2017.
Exhibitor Rules and Regulations
All exhibitors are required to sign the official NPTC 2017 Exhibitor Rules, Regulations, Terms and Conditions, available for download here. Unless otherwise specified or required in the NPTC 2017 Exhibitor Rules and Regulations, NPTC abides by and requires that all exhibitors abide by the exhibit guidelines of the International Association of Exhibition and Events. Payment of booth fee constitutes acceptance of the booth contract and agreement to the Exhibition Rules and Regulations.
Meeting for Selection of 2018 Booth Space
The meeting for priority selection of 2018 exhibit booth spaces will take place on-site in Cincinnati on Monday, April 30, 2017, at 1:15pm Eastern Time, at the Duke Energy Convention Center in room 206 North. Please have someone from your company participate in this meeting to ensure your preferred booth space for NPTC 2018 in Cincinnati.
Exhibitor and exhibitor’s contractors shall, at their sole cost and expense, procure and maintain through the terms of this contract, comprehensive general liability insurance against claims for bodily injury or death, and property damage occurring in or upon or resulting from the premises leased. Such insurance shall include contractual liability and product liability coverage, with combined single limits of liability of not less than $1,000,000. Such insurance shall name National Private Truck Council, Duke Energy Convention Center/Spectra and City of Cincinnati as an additional insured. If needed, below is the address for each additional insured. Exhibitor shall furnish to NPTC a certificate of insurance (COI) evidencing the above requirements upon reasonable request by NPTC.

The dress code for NPTC 2017 is business casual.
Booth Cancellation Policy
Exhibitor’s failure to occupy booth is not subject to refund. Prior to January 30, 2017, there will be a $500.00 penalty if exhibitor cancels booth reservation (unless booth is greater than 800-square-feet in which 50% of booth cost is nonrefundable). From January 30 to March 16, 2017 (90 to 45 days out), booth cancellation will result in a penalty of 50% of the total cost of the booth. After March 16, 2017 (less 45 days out), exhibitor is responsible for full payment of the booth cost. If exhibitor choses to downsize by selecting a smaller booth space, the following policy will apply: prior to January 30, 2017, exhibitor will be entitled to a refund of the cost deferential; from January 30 to March 16, 2017 (90 to 45 days out), 50% of the cost deferential will be refunded; after March 16, 2017, (45 days from conference start), exhibitor will not be entitled to a cost deferential refund but will be responsible for payment in full of the larger booth.
Other Notes/General Rules
All staff and contractors of companies participating at the NPTC 2017 Annual Education Management Conference and Exhibition shall adhere to the following rules as set forth by the NPTC Annual Conference Planning Committee:
1. No unauthorized literature drops at the Conference hotels, including the Hilton Cincinnati Netherland Plaza, the Hyatt Cincinnati and/or any other overflow hotels.
2. No entertainment of customers (or prospective customers) or meetings/gatherings when an official NPTC event is scheduled, either during the day or evening, from April 29, 2017 through May 2, 2017.
3. No distribution or substitution of any item in the official NPTC sponsored registration package.
4. Sunday, April 30, 2017, is the official ACT-I NPTC event, beginning at 7:00 PM at the Hilton Cincinnati Netherland Plaza. No other activity can be held that evening – no exceptions.
The NPTC Annual Conference Planning Committee requests that all participating companies and their staffs/contractors obey these rules as well as the spirit of these rules.
