Exhibitors earn one (1) complimentary, full-conference registration with an
exhibit booth. Complete the form below to assign your complimentary attendee.
The registration includes all educational sessions and networking meals at the National Safety Conference. Registration materials will be available for pick up at the NPTC registration desk at the Omni on Wednesday, September 6 from 11:00 am – 5:00 pm and Thursday, September 7 from 6:45 am until 6:00 pm.
You can purchase additional paid registrations here. NPTC does not offer exhibit-only passes or tickets: all attendees, booth workers, and participants in any event or the exhibit must be registered. For any attendee updates or replacements, email Kristen Todd at email@example.com.
Freeman Company is the official exhibit hall decorator. The 2023 Safety Conference Exhibitor Service Manual, where you can order additional rental furniture, electricity, internet connections, booth setup, shipping, and more, will be available here for quick and accurate service. Note that because the exhibit is held in a carpeted ballroom, carpet rental is not required.
Your booth space rental INCLUDES the following (i.e., you do not need to order these items below separately):
- One (1) 8-foot high back-drape and two (2) 3-foot high side drape dividers
- One (1) 6-foot x 30-inch draped table, two (2) limerick chairs and one (1) wastebasket
- One (1) 11-inch x 17-inch booth identification sign displaying exhibitor company name
Neither NPTC nor Freeman requires submission of an EAC Form (Exhibitor Appointed Contractor).

Please contact the Omni Orlando Resort at Championsgate directly at 1(800)843-6664 or use the button to the right to make your hotel reservations. NPTC has a block of sleeping rooms reserved at the special rate of $195.00 per night (single/double).
The cut-off date to guarantee the special rate at the Omni is August 4, 2023. Click here for more information about the hotel and transportation options from the airport.
Exhibitors are encouraged to ship exhibit booth materials in advance to the Freeman warehouse as this will ensure that your items will be waiting in your booth when you arrive for set up; it includes storage of empties and return of empties at conclusion of show (see Exhibitor Service Manual for details). Exhibitors may ship materials directly to the Omni Orlando Resort which will accept shipments up to five-days prior to the move-in date. However, NPTC is not responsible for lost or undelivered exhibitor shipments sent to the Omni Orlando Resort; further, exhibitor must arrange with the Resort for receipt and delivery of items to the hall and your booth. In the case that exhibitor’s material fails to arrive, exhibitor will continue to be responsible for space rental fees. NPTC will not be held liable in such event. Freeman will accept crated, boxed or skidded materials beginning Friday, August 7, 2023, at the Advance Warehouse address below. Material arriving after August 30, 2023 will be received at the warehouse with an additional after deadline charge. Warehouse materials are accepted at the warehouse Monday through Friday between the hours of 8:00 AM – 3:30 PM.
CANNOT RECEIVE BEFORE = 9/06/2023
Freeman will receive shipments at the exhibit facility, the Omni Orlando Resort, beginning Wednesday, September 6, 2023. Shipments arriving before this date may be refused by the facility. Any charges incurred for early freight accepted by the facility are the responsibility of the Exhibitor. Certified weight tickets must accompany all shipments. NPTC does not require that a copy of your certificate be on-file with us.
Exhibitor and exhibitor’s contractors shall, at their sole cost and expense, procure and maintain through the terms of this contract, comprehensive general liability insurance against claims for bodily injury or death, and property damage occurring in or upon or resulting from the premises leased. Such insurance shall include contractual liability and product liability coverage, with combined single limits of liability of not less than $1,000,000. Such insurance shall name National Private Truck Council and Omni Orlando Resort at ChampionsGate as an additional insured. If needed, below is the address for each additional insured. Exhibitor shall furnish to NPTC a certificate of insurance (COI) evidencing the above requirements upon reasonable request by NPTC.

As an exclusive exhibitor benefit, you will receive two electronic datafiles of registered attendees: the first approximately one month before the event and the second a post-event list within seven business days following the event. The datafile will include registrant name, title, company, full address, and phone (email addresses are NOT available).
NPTC does not offer any marketing services such as flyer mailings or blast emails to attendees. Exhibitors wishing to send direct mail to attendees are asked to email firstname.lastname@example.org with an email proof of the marketing piece for approval prior to mailing.
NPTC does not offer, operate, or permit lead retrieval systems, nor are they available from another source.
NPTC prohibits blast/ mass promotional emails or mass cold-calls to attendees.

There are no refunds or credits for booth cancellation. Moreover, exhibitor’s failure to occupy booth is not subject to refund. No exceptions.
- Attendee dress code is business casual.
- Public announcement of door prize drawings by individual exhibitors not permitted.
- Hotel room or other literature drops/distributions are not permitted.
- NPTC does not provide press conference sessions or scheduling in conjunction with this event. Moreover, a dedicated press room is not available.
